GENERAL ACCOUNTABILITY:

Under the general direction of the CEO, the Operations Manager is responsible for the management and smooth operation of the Human Resources and Administration functions.  Acts as a company resource for Human Resources and administration matters and as the primary point of contact and record keeper for internal and external communications. Supports the Accounting and ERP systems under the direction of the Controller.  Other related duties as assigned.
Specific Accountabilities:
Human Resources:
  • Manage HR related activities, including recruiting and hiring, compliance and risk management metrics, benefits administration, compensation, managing records, safety administration and employee relations.
  • Keep policies and handbook updated and ensure required trainings and postings are handled.  Reviews and recommends policy and procedure updates in compliance with federal and state employment regulations.
  • Administer various employee benefits programs including group medical/vision, dental, life and supplemental insurances.  Helps with benefits questions, manage enrollments and open enrollments.
  • Submit any work related injury documentation to Work Comp carrier, track injuries and  complete OSHA 300 logs and postings.
  • Manage safety program administration and participates in monthly safety committee and general safety meetings. 
  • Conduct new employee orientations, staff trainings, and exit interviews as needed.
  • Identify and clarify employee issues and implementing solutions, including coaching, counseling and progressive discipline.
  • Maintaining confidentiality for HR related issues
  • Keep current on developments in the human resources field in order to act as a resource to management and staff.
  • Provide managers with guidance and support in the documentation of problem performance and performance reviews, when necessary.  Assist Managers with wage recommendations.  Provide management with necessary forms and tools to document disciplinary actions and performance reviews. 
  • Responsible for keeping the CEO and VP of Operations informed, in a timely manner, of all issues that incumbent has become aware of that affect or may affect management, the company, or employees. 
  • Manage and share helpful HR metrics including headcount, turnover and training completion.
Administration:
  • Provides administrative support to the CEO and VP of Operations.
  • Responsible for company filings, permits, insurance renewals, and records.  Manages the annual general insurance/liability/property renewal for the company.  Handles any claims or administrative matters pertaining to this coverage.  Conducts annual DMV reports for company drivers. Processes and maintains records including but not limited to the annual hazardous material permit, Secretary of State List of Officers and Company Business License.  See work instructions for further details.
  • Administers the petty cash fund, ensuring that disbursements, receipts, and monthly reconciliation procedures are followed. 
  • Maintains various administrative files including company vehicle files, insurance files, and legal files, ensuring they are kept up to date and accurate.  Follows up on vehicle registration and insurance to ensure necessary documents have been applied for and received.  Liaisons with insurance broker in regards to requesting certificates of insurance and following up on pending court cases. Prepares business letters and other administrative correspondence as required.
  • Manages UPS/FedEx/Other billing discrepancies as it relates to Sales/Customer Service and outgoing shipments, ensuring charges are accurate and corrections made.
  • Oversees Shipping Damage Claims to ensure they are kept current and payment received, with customer credited if necessary.
  • Oversees Company Administration and helps coordinate workflows such as scheduling office communications, recordkeeping, etc.
  • Support initiatives that improve administrative processes and support overall organizational efficiency.  Provide support to all departments to help in increasing productivity and ensuring accuracy.

AIS/ERP and Finance Operations
  • Keep our accounting/ERP systems organized in Charts of Accounts, User Permissions, Workflows, Integrations, etc.
  • Ensure our data is clean and accurate, including access reviews, audit trails, and monthly checks.
  • Help improve how we handle purchasing, orders, inventory, and month-end processes.
  • Build helpful reports and dashboards so teams can see financial and operational trends at a glance.

Job Specifications:
  • Ideally a bachelor’s degree in accounting, Finance, Information Systems, Business Admin, or HR with a  minimum of 5 years’ experience in Human Resources, preferably in a generalist capacity, or the equivalent combination of education and experience.
  • Knowledge of current federal and state laws pertaining to employment.
  • Knowledge of US payroll/benefits, OSHA, workers’ comp, and internal controls in a manufacturing environment including ability to understand processes, documentation, and keeping things compliant.
  • Solid computer skills include ERP/HRIS systems, data accuracy, Excel/Word/SharePoint and Microsoft 365 tools. 
  • Previous management experience with the ability to effectively motivate, coach and train staff as well as encourage and support a team environment.  Communication skills that encourage the camaraderie necessary for team building with the ability to work well with management and staff.  Demonstrated ability in training, disciplining, and recruiting employees as well as performance management.  Experience working in a manufacturing environment is desirable.
  • Must demonstrate effective communication skills, both oral and written, with the ability to remain calm and work well under pressure.  Self-confident with the ability to successfully handle and defuse situations with both customers and staff.  Patience, flexibility and a sense of humor are a must.  Effective persuasion and negotiating skills are necessary for successful relationships with both customers and company personnel.  Trustworthy with sensitive information and able to handle tough situations with professionalism and tact.  A willingness to learn and take ownership is key.
